1. Who We Are
GameTime Inc. ("GameTime", "we", "us", or "our") operates the GameTime platform, including the mobile application and web portal available at gametime.net and related domains. We provide club management software to sports and recreation clubs ("Clubs"), whose members ("Members") use the platform to access club services.
If you are a Member, your primary relationship is with your Club. GameTime acts as a data processor on behalf of your Club, which is the data controller for your personal information.
2. What Information We Collect
Information you provide directly:
- Name, email address, phone number, and mailing address
- Profile information (biography, profile photo, social links)
- Payment information (processed by Stripe; we do not store full card numbers)
- Feedback, comments, or suggestions you submit to us
Information collected automatically:
- Device type, operating system, and app version
- IP address and approximate location (city/region level)
- Usage data: pages visited, features used, booking history
- Log data: errors, timestamps, session duration
Information provided by your Club:
- Membership type, status, and account balance
- Booking records and class registrations
- Billing transactions and dues history
3. How We Use Your Information
We use your information to:
- Provide, operate, and improve the platform
- Process court bookings, class registrations, and payments
- Send transactional notifications (booking confirmations, reminders)
- Send marketing communications from your Club (you can opt out at any time)
- Respond to support requests
- Ensure platform security and prevent fraud
- Meet legal and regulatory obligations
We do not use your information to serve third-party advertising.
4. How We Share Your Information
With your Club: Club administrators can access your profile, membership details, booking history, and billing records as part of managing their club operations.
With service providers: We share data with trusted vendors who help us operate the platform, including Stripe (payments), AWS (hosting), and email/SMS delivery providers. These vendors are contractually bound to protect your data and may not use it for their own purposes.
With other Members (limited): If your Club enables a member directory, your name and profile photo may be visible to other members of the same Club. The directory is accessible only to authenticated members of that Club. You can control your visibility in your profile settings.
Legal requirements: We may disclose information if required by law, court order, or to protect the rights, safety, or property of GameTime, Clubs, or their members.
We do not sell your personal information to any third party.
5. Push Notifications
If you download the mobile app, you may receive push notifications including booking confirmations, Club announcements, and other service messages. You may opt out of non-essential push notifications at any time through your device settings.
6. App Updates
The app may prompt you to install updates from time to time. These updates are designed to improve functionality, fix bugs, and enhance security. By using the app, you agree to receive such updates as part of the service.
7. Data Retention
We retain your personal information for as long as your membership account is active, or as required by your Club or applicable law. When a Club terminates its subscription, member data is retained for 90 days and then deleted or anonymized, unless a longer retention period is required by law.
You may request deletion of your account by contacting your Club administrator or emailing privacy@gametime.net.
8. Your Rights
Depending on your location, you may have the right to:
- Access a copy of your personal data
- Correct inaccurate information
- Request deletion of your data
- Object to or restrict certain processing
- Data portability
- Withdraw consent at any time
Canadian residents (PIPEDA/Bill C-27): Contact us at privacy@gametime.net to exercise your rights.
UK/EEA residents (UK GDPR / GDPR): You have the rights above and may lodge a complaint with your national data protection authority (ICO in the UK).
Australian residents (Privacy Act 1988): You may contact the Office of the Australian Information Commissioner if you believe your rights have been breached.
California residents (CCPA): You have the right to know, delete, and opt out of the sale of personal information. We do not sell personal information.
9. Cookies and Tracking
We use session cookies necessary for authentication and platform functionality. We do not use third-party advertising cookies or tracking pixels. Disabling cookies may prevent login and use of the platform.
10. Security
We use industry-standard security measures including TLS encryption in transit, encrypted storage of sensitive data, and access controls limiting who can view member information. No system is completely secure. We will notify you of any breach affecting your data as required by applicable law.
11. Children's Privacy
The platform is not directed at children under 13 (or under 16 in the UK/EEA). If a Club enrolls a minor, the Club is responsible for obtaining appropriate parental or guardian consent.
12. Changes to This Policy
We may update this policy from time to time. We will notify you of material changes via email or in-app notice at least 14 days before the change takes effect. Continued use of the platform after the notice period constitutes acceptance of the updated policy.
